An opportunity has arisen for an Administrative Assistant to join the Mechanical & Electrical team.


Main Duties:

  • Following any instruction from the Office Manager
  • Follow pre-written scripts and procedures and keep updated
  • Overflow of Raising Contractor work orders
  • Overflow of Raising Supplier purchase orders and updating internal Spreadsheet
  • Answer phone, Action where Applicable and Relay Messages Accordingly
  • Set up of New Suppliers – Head Office Level
  • Set up of New Contractors – Head Office Level
  • Wholesaler Account Queries – Monthly
  • Contact Head Office regarding leavers – Cancelling Emails, Email Groups, and Tool & Training Agreement and arranging all shield equipment to be returned
  • Hotel and Travel Booking and Updating Internal Spreadsheets and Database
  • Ordering materials and equipment when required by Engineers & Management and Updating Internal Spreadsheets and Database
  • Booking in Servicing, MOT’s, Monthly Van Inspections and Keeping Documents up to date
  • Claiming Expenses for Engineers and Management
  • Monthly Credit Card Returns
  • Booking of all training ensuring Training Agreements are signed and passed to HQ
  • Weekly Fire Alarm Testing
  • 6 Monthly Fire Evacuations
  • Quarterly Ladder Inspections
  • Monthly Mask Inspections
  • Ordering Staff Uniform and keeping records up to date
  • Ordering office stationery
  • Toolbox Talks Admin
  • Scheduling PAT testing
