Administration Assistant (Mechanical, Electrical & Facilities Services)

An exciting opportunity has arisen for a Helpdesk Administrative Assistant to join the team at our Mechanical, Electrical & Facilities Services Division.


Main Duties:

  • Following instructions from the Office Manager
  • Manage help & guide the ongoing development of all direct reports within the Administration team
  • Setting of Personnel Allocation & Security Groups Within the QRM System (under director instruction)
  • New Starter management and inductions inclusive of all system training, paperwork and certs ensuring new starters are work-ready (Working with Contract Managers and SHEQ team)
  • Weekly Timesheet & Update Payroll
  • Oversee Answering of Office Telephone in the Correct Manner
  • Produce and regularly review Process & Procedure lists
  • Overall responsibility for all aspects of Office Management EG. Waste, Cleaner
  • Subcontractor invoice & applications processing
  • Complete Headcount Forms (Director Sign Off)
  • Update Annual Leave and Sickness Records
  • Oversee uniform ordering
  • Overseeing Vehicle Management
  • New Vehicle Purchasing (Under Director Instruction)
  • Setting up suppliers and Subcontractors
  • General IT Issues with employee’s equipment
  • Expenses for engineers
  • Weekly fire alarm check
  • Monthly statements for credit cards
