An exciting opportunity has arisen for a Helpdesk Administrative Assistant to join the team at our Mechanical, Electrical & Facilities Services Division.
Main Duties:
- Following instructions from the Office Manager
- Manage help & guide the ongoing development of all direct reports within the Administration team
- Setting of Personnel Allocation & Security Groups Within the QRM System (under director instruction)
- New Starter management and inductions inclusive of all system training, paperwork and certs ensuring new starters are work-ready (Working with Contract Managers and SHEQ team)
- Weekly Timesheet & Update Payroll
- Oversee Answering of Office Telephone in the Correct Manner
- Produce and regularly review Process & Procedure lists
- Overall responsibility for all aspects of Office Management EG. Waste, Cleaner
- Subcontractor invoice & applications processing
- Complete Headcount Forms (Director Sign Off)
- Update Annual Leave and Sickness Records
- Oversee uniform ordering
- Overseeing Vehicle Management
- New Vehicle Purchasing (Under Director Instruction)
- Setting up suppliers and Subcontractors
- General IT Issues with employee’s equipment
- Expenses for engineers
- Weekly fire alarm check
- Monthly statements for credit cards
