An opportunity has arisen for an experienced administrator to join our Quality, Environmental, Health and Safety department, based in Bristol.

Duties include:

  • Reporting into the Quality Manager on a daily basis
  • Providing support to the Shield Group of businesses, QUENSH Team Advisors and Managers
  • Version control of new and existing forms and templates
  • Answering the QUENSH department and Admin phones as required
  • Preparing, Monitoring, updating and maintaining departmental templates, policies, procedures and flow charts
  • Administration of departmental communications e.g. telephone calls, post, e-mails, faxes etc.
  • Monitoring, updating and maintaining the ‘Approved Contractor/ Supplier List’
  • Processing Supplier and Contractor applications
  • Preparing monthly QUENSH Statistics
  • Populating the Technical Return/Divisional Return
  • Monitoring, updating and maintaining site inspection spreadsheets and actions database including action close out management
  • Management of corrective action database
  • Monitoring, updating and maintaining Accident, Incident, Near miss and Hazard ID reports
  • Input, management and close out of actions from internal audits and Inspections
  • Monitoring, updating, maintaining and closing customer compliments and complaints
  • Customer feedback matrix and outstanding action requests to be circulated to senior management team
  • Support completion of Pre-Qualification questionnaires
  • Monitoring, updating and maintaining the Tool box talk library
  • Monitoring, updating and maintaining the QUENSH folder system
  • Set up and maintaining filing system
  • Maintain and monitor technical library
  • Meet UKAS administration requirements for Shield Group of companies
  • Update Business Organograms
  • Logging bills and fuel usage
  • Attend meetings and minute taking
  • Manage I Auditor accounts and create forms
  • Accreditation questionnaires
  • Log of personal monitoring

Qualities and requirements:

  • Self-motivated person who can work in a team and have a professional approach
  • Excellent listening and communication skills, both written and oral
  • Strong initiative and organisational skills with the ability to work to strict time and quality requirements
  • Good interpersonal skills with the ability to build relationships with colleagues and business managers
  • Attention to detail and confidentiality are paramount
  • Knowledge of Microsoft Office, PowerPoint, Excel and Word
  • Experience in use of database measurement and reporting software would be an advantage
  • Be confident liaising with a variety of people both internal and external to the business
  • Knowledge of working with ISO 14001, 9001, 45001 would be an advantage
  • Previous experience working in an administration role within health and safety would be an advantage
